Most Ashby customers should start with Ashby's own AI Notetaker: it records, transcribes and summarizes Zoom, Google Meet and Teams interviews, drafts feedback inside Ashby, and includes 500 interviews to try at no extra cost, as of September 2026. The reasons to look at alternatives are specific. It does not record phone or in-person interviews, it joins as a participant, and some teams want capabilities it does not describe. For those gaps, the options are BrightHire or Metaview, which integrate with Ashby, or a bot-free desktop tool whose notes you add by hand.

What Ashby AI Notetaker does, as documented
From Ashby's own pages, as of September 2026:
- Capture: Zoom, Google Meet and Microsoft Teams. The notetaker "appears as its own participant" and leaves when all other non-bot participants leave (scheduling guide, FAQs).
- Output: transcripts, AI summary notes, AI help drafting feedback submissions for you to review and approve, and an interview-specific chat assistant (knowledge base).
- Consent: disclosure messaging in the calendar invite with an opt-out, consent status tracked in Ashby, and retention options. You can stop a recording from the interview briefing.
- Languages: the FAQ says it transcribes over 99 languages and detects the language automatically.
- Training: the FAQ says recordings are not used to train models, even anonymized.
- Plans: an add-on on Foundations, Plus, Enterprise and legacy Plus plans; 500 interviews per plan to try with no expiry (add-on page).
That is a strong baseline for an in-house team running video loops. Recordings, feedback and consent all live on the candidate record already, which no third-party tool fully matches.
Where teams on Ashby look for something else
- Phone screens. The scheduling guide says interviews with a phone call or custom location are not recorded. If recruiter screens happen by phone, the first and most-repeated conversation has no transcript.
- Onsite and in-person rounds. Same reason. Final rounds in an office are uncaptured.
- A participant in the call. Some candidates and interviewers dislike a visible notetaker. The FAQ also says interviewers currently cannot opt themselves out.
- Interview intelligence beyond notes. Teams that want highlight reels, interviewer coaching or analytics across many interviewers may compare a specialist tool. Check what Ashby offers in your plan before assuming it does not.
- Interviews outside Ashby's scheduling. A hiring manager who books a call from their own calendar, or a founder who takes a coffee chat, will not get the notetaker unless the interview is set up in Ashby.

BrightHire with Ashby
Ashby's BrightHire article says you schedule BrightHire interviews through Ashby as usual, and afterwards BrightHire pushes a link to the recording, insights and notes to the candidate's activity feed. Access roles sync from Ashby. One detail to plan for: BrightHire cannot write to structured feedback fields, so the article recommends adding a long text field such as "BrightHire notes" at the start of your feedback forms. Choose it if you want a dedicated interview intelligence product and interview mostly on Zoom. Think twice if the native notetaker already covers your video loops and you would be paying twice.
Metaview with Ashby
Metaview lists Ashby among its ATS integrations but the list does not describe what the integration does, so ask for a demo on a test candidate. Its notetaker joins video calls as a participant, and phone calls are captured by calling its switchboard. Choose it if phone screens are the main gap and a published per-user price helps your budget. Think twice if the participant in video calls was your reason for leaving the native tool.
Bot-free desktop tools
Desktop apps capture audio on the interviewer's computer, so nothing joins the call and phone calls routed through the computer work too. None we checked lists an Ashby integration, so notes are pasted into feedback. That works for a few people with a clear gap, such as the recruiter who runs phone screens, and is untidy for a whole interview team. If the only gap is a recruiter phone screen, the cheapest answer may be to move screens to video in Ashby. If candidates prefer the phone, or volume is high, add a tool for that stage only.
A filled example (invented)
An invented 40-person software company hires engineers and customer support staff on Ashby. Its map shows video hiring manager screens, technical interviews and take-home reviews all captured by Ashby AI Notetaker. Two gaps appear: the recruiter's first call, which support candidates usually take by phone (about 60 a month), and the in-person final round for engineers (about 8 a month).
The team decides the final round does not need a transcript: four interviewers already submit structured feedback in Ashby, and eight a month is manageable by hand. The phone screens are a different story. At 60 a month the recruiter spends hours writing notes, and most rejections happen at this stage, so the record matters. The team trials a phone-capable tool for the one recruiter, pastes the summary into Ashby feedback, and adds a spoken notice to the screen script. One seat, one stage, one new notice.
Running two tools without confusing candidates
- One tool per interview. Never run the native notetaker and another tool on the same call. Two transcripts create two records to retain and delete.
- Update the notice. Ashby's invite disclosure covers Ashby's notetaker. If a phone screen is captured by another tool, the recruiter needs to give notice and get consent on that call; our consent script has wording.
- Keep the record of truth in Ashby. Paste or sync the summary into the feedback form so the debrief sees all stages in one place.
- Match retention. Set the second tool's retention to match what you configured in Ashby, and include it in your deletion process for candidate requests.
- Check AI rules for the stage. If a tool scores or ranks candidates, review whether rules such as NYC Local Law 144 apply.
Questions to ask before adding a vendor
- Ask your Ashby account team whether phone or in-person capture is planned, and when.
- Ask how many of your 500 included interviews you have used, and what usage costs after that.
- Ask the vendor to show a note arriving in Ashby on a test candidate: which field, whose name, what formatting.
- Ask where the vendor stores recordings and transcripts, the default retention, and whether data is used for training.
- Ask how the vendor handles a candidate who opts out partway through a call.
When to stay with Ashby AI Notetaker alone
Stay with the native tool if your interviews are video calls scheduled in Ashby, your team is comfortable with a notetaker participant, and nobody is asking for analytics it does not provide. One vendor, one consent flow and one retention policy is worth a lot. Add a second tool only for a stage you mapped as a gap, and only for the people who run that stage.
