Fireflies.ai for recruiting: capture modes, plans and gaps for interviews

Fireflies.ai works for recruiting when you want an inexpensive transcript and summary of every screen, notes pushed into Greenhouse or Lever, and a choice between a bot and bot-free capture. As of September 2026 it records interviews through its Notetaker bot, a Chrome extension for Google Meet, or a desktop app that captures your computer's audio. It is a general meeting tool first, so agency recruiters should check the gaps: no listed Bullhorn or JobAdder integration and no client submittal feature.

How Fireflies captures an interview

Fireflies has more ways to capture a call than most note-takers, and they behave differently in front of a candidate. Choose deliberately, because the default is the bot.

Which method to use for which interview

  • Phone screens: the desktop app if the call runs through your computer, or a dialer integration if your team uses one. The Chrome extension and the bot do not help here.
  • Video interviews you host: the desktop app, so there is no participant to explain. The bot is fine if candidates are told in the invite and you are comfortable with a named participant.
  • Interviews a client or hiring manager hosts: the desktop app. A bot waits for someone to admit it, and in a client's meeting that someone is not you.
  • Panels you cannot attend: only the bot captures a meeting you are not in. Tell the candidate in advance who, or what, will be there.

The desktop app's notices are on by default, which is good practice. Fireflies' guide is clear that if you turn them off, informing participants and following recording law is your responsibility.

The pricing page did not show figures when we checked. The prices below come from Fireflies' own pricing plans article and its pricing post dated July 10, 2026, as of September 2026. The last column is arithmetic.

Plan details come from the Pro and Business help articles. Two things change the real cost for recruiting teams:

  • Storage on Pro. 8,000 minutes is about 177 stored 45-minute interviews (8,000 ÷ 45). Thirty half-hour screens a week is 900 minutes, so 8,000 minutes lasts about nine weeks (8,000 ÷ 900). Plan to delete or export old transcripts, which you may want to do anyway for retention reasons.
  • AI credits. The Business article says the plan price "excludes AI Credits charges" for AskFred, AI Skills and custom summaries. If your recruiting workflow depends on AI Skills, ask Fireflies how many credits a typical interview uses before you budget.

What Fireflies offers recruiters specifically

According to Fireflies' recruiting page, as of September 2026:

  • ATS sync. Notes and transcripts sent to Greenhouse, Lever "and others". The Greenhouse integration page says it logs transcripts and summaries under candidate profiles and creates a candidate if no profile is found.
  • Summaries in recruiting formats. Interview summaries, intake and debrief notes, and customizable formats.
  • Scorecards. The page says interviews can be turned into scorecards and insights.
  • Recruiting AI Skills. Named examples include a Candidate Sentiment Analyzer, Candidate Questions Tracker, Culture Fit Extractor and Candidate Generic Debrief.
  • Voice Agents. A separate voice agent product runs first-round screening interviews itself, with credits that the page says start from $0.06 per minute and a free allowance of 50 credits.

That last item is a different category from note-taking: the AI conducts the conversation rather than recording yours. It may suit very high-volume screening, and it raises separate questions about candidate experience and automated decision rules. Settings to review before your first candidate call

Most problems with any note-taker in interviews come from defaults set for internal meetings. Go through this list once, with your manager or admin if you are on a team plan.

  1. Auto-join. Decide whether the bot should join every calendar event. If candidate interviews are on the same calendar as internal meetings, auto-join sends the bot to interviews too.
  2. Bot name. Fireflies' help center says the bot's display name can be customized on paid plans for an added monthly fee. If you keep the bot, a clear name reduces "who is that?" at the start.
  3. Desktop app notices. Keep the audio message, chat message and watermark on until you have your own spoken consent routine, then decide which to keep.
  4. ATS matching. Because the Greenhouse and Lever integrations can create a candidate when no match is found, run one test and check you did not create a duplicate profile.
  5. Sharing. Check who in your workspace can see interview transcripts. Candidate conversations often contain compensation and personal details a whole company does not need.
  6. Evaluative AI Skills. Decide as a team, in writing, whether sentiment or culture fit analysis is allowed. See the next section.
  7. Retention. Set a rule for deleting interview transcripts, and check it against what your notes may need to withstand.

A notice line for the calendar invite

Whichever capture method you choose, tell candidates before the call. Copy and adjust:

A note on this call: I use Fireflies.ai to transcribe interviews so I can
listen rather than type. The notes are used only for your application with
[Company / our client]. If you would prefer not to be transcribed, reply to
this invite or tell me at the start and I will take notes by hand. It will
not affect your application.

Then say it again at the start of the call. Our interview recording consent script has spoken versions, including a stricter one for all-party consent states.

Features to think twice about in hiring

General meeting tools offer analysis built for sales calls and team meetings. Some of it transfers poorly to interviews, where the output can influence who gets hired.

  • Sentiment analysis. How positive a candidate sounded is not a job requirement, and it can reflect accent, nerves, disability or cultural norms. If AI output substantially assists a hiring decision, rules such as NYC Local Law 144 may apply. Confirm with counsel before using it.
  • Culture fit extraction. "Fit" is the judgment most prone to similarity bias. If you need it, define the behaviors first; our guide on assessing values without culture fit bias shows how.
  • Automated scorecards. A scorecard drafted from a transcript is only as good as the evidence behind each rating. Check every quote against the transcript and keep the rating with the interviewer. The evidence-based feedback method explains why.
  • AI voice screening. If candidates in Illinois are asked to record video answers analyzed by AI, the Illinois AI Video Interview Act has notice and consent requirements. For voice-only screening, check the state and local AI rules where your candidates are.

Where Fireflies stops for recruiting

These are things we could not find on Fireflies' own pages as of September 2026. Features change, so ask before you decide.

  • Agency ATS. The integrations page lists BambooHR, Greenhouse and Lever. Bullhorn, JobAdder, Crelate and Loxo are not listed, so agency notes would go through Zapier, the API or copy and paste.
  • Client submittals. Summaries and scorecards are described; a submittal written for a client in your agency's format is not. See our candidate submittal template for what that output needs.
  • A live interview guide. The recruiting page describes notes and summaries after the call, not a question guide from the job description that tracks which must-ask questions you covered during it.
  • Bot-free Zoom or Teams in the browser. The extension is Google Meet only. For Zoom or Teams without a bot, you need the desktop app.
  • Long panels on Pro. The Pro article lists recording up to 2 hours per meeting. Long onsite loops recorded as one meeting may need Business.

Who Fireflies suits, and who should look elsewhere

Fireflies is a sensible choice if:

  • Your company already uses it for sales or internal meetings, and adding interviews costs nothing extra.
  • You are an in-house recruiter on Greenhouse or Lever and want transcripts on the candidate profile.
  • You run a high-volume first-round screen and want to evaluate AI voice screening alongside note-taking.
  • You want the option of a bot for meetings you cannot attend and bot-free capture for the rest.

Look at other tools if:

  • You are an agency recruiter whose output is a client submittal and whose ATS is Bullhorn or JobAdder.
  • You want structure during the interview itself, not only a summary after it.
  • Your security review requires transcripts to stay off a vendor's cloud.

Questions people ask

Can Fireflies record an interview without a bot joining?

Yes, in two ways, as of September 2026. Its desktop app for Windows and Mac captures system audio with no bot, and its Chrome extension captures Google Meet in Chrome without a bot. For Zoom or Teams in the browser, Fireflies' help center points you to the Notetaker bot or the desktop app.

Does Fireflies integrate with Bullhorn or JobAdder?

Not as a listed integration. Fireflies' integrations page names BambooHR, Greenhouse and Lever as its applicant tracking integrations as of September 2026. Agency recruiters on other systems would use Zapier, the API, or copy notes across.

Is the Fireflies free plan enough for a recruiter?

It is enough to try it. Fireflies' July 2026 pricing post describes unlimited transcription on Free, but limited storage, no transcript downloads and no AI Skills. A working recruiter who needs to export notes or run recruiting AI Skills will need a paid plan.

Should I use Fireflies' candidate sentiment or culture fit features?

Think carefully first. Scoring a candidate's sentiment or fit with AI may bring an interview into scope for rules such as NYC Local Law 144, and culture fit judgments are hard to defend. Many teams keep AI to transcripts and evidence and leave judgments to trained interviewers.

How much does Fireflies cost for a recruiter?

As of September 2026, Pro is $18 a month or $10 a month billed yearly, and Business is $29 a month or $19 a month billed yearly, per user. A year of Pro on annual billing is $120; a year of Business is $228.
