Greenhouse Notetaker alternatives: when the native tool is enough, and when it is not

Greenhouse Notetaker is the AI note-taker built into Greenhouse's Core, Plus and Pro tiers. It joins Zoom, Google Meet and Microsoft Teams interviews as a participant, records and transcribes them in English, and drafts notes mapped to the interviewer's scorecard questions. For most Greenhouse customers it should be the first thing you test. Alternatives earn their place in specific gaps: phone screens, in-person interviews, non-English interviews, candidates or policies that do not want a participant in the call, and needs beyond its 60-day retention.

What Greenhouse Notetaker does

From the Greenhouse Notetaker product page, the support article on using it, the setup guide, the security and privacy FAQ and the August 2026 release notes:

In the interview

• It joins the meeting one minute before the scheduled start and appears as a participant tile named Greenhouse Notetaker followed by the interview time. Recording begins automatically when it joins.
• It works on interviews scheduled through Greenhouse's interview plan, and is not supported in Outlook 365 GCC High environments.
• Candidates give consent through self-schedule or availability requests and can withdraw it at any time. If consent is withdrawn after scheduling, Greenhouse removes the Notetaker automatically; if a candidate objects during the call, the interviewer removes it from the interview kit or the meeting controls.

After the interview

• Notes for each question and an overall summary are drafted from the transcript, with timestamps that jump to that moment in the recording.
• Interviewers add the generated notes to the scorecard with one click, edit them, and write their own assessment in Key Takeaways before submitting.
• Permissions control who can view recordings, transcripts and notes on other people's scorecards.

Admin and data

• Disabled by default; a Site Admin turns it on under Configure, AI Tools. One credit is used each time a Notetaker joins an interview.
• Retention is configurable up to 60 days, and GDPR retention rules can anonymize Notetaker data with the rest of a candidate's information.
• The FAQ names Recall.ai as the vendor for the meeting bot, recording and transcription, and OpenAI as the current provider of the language model for summaries. It says recordings are not currently used for training and that AI providers are contractually prohibited from training on customer data.
• Transcription is English only. Phone and in-person interviews are not supported.

That is a strong default: no extra vendor to procure, notes land in the scorecard interviewers already use, and consent is collected in the scheduling flow. Greenhouse does not publish a price.

Where the native notetaker stops

Before evaluating anything else, sort your interviews by type and check each against this table. If every row you care about says "covered", the native tool is probably enough.

Third-party options that work with Greenhouse

How each describes capture and its Greenhouse connection on its own site, as of September 2026. "Not stated" means we did not find it on the pages we checked.

Metaview

Metaview's Greenhouse guide says it captures interviews scheduled in Greenhouse automatically, fills in parts of scorecards from what was said while leaving subjective fields blank on purpose, and pulls its full note template into a scorecard section titled "Metaview Notes". Authorization uses OAuth and must be done by a Greenhouse Site Admin. It also offers a Chrome extension to fill scorecards inside Greenhouse. Pricing is on its pricing page. Suits: teams that want deeper scorecard pre-fill and phone screens through a switchboard, and do not mind a bot. Less suited to: teams leaving the native tool because of the participant in the call.

BrightHire

BrightHire lists Greenhouse on its integrations page, and its interview notes page describes auto-drafted scorecard mapping, one-click completion and highlights playable in the ATS. On Zoom it runs without a per-call bot. Prices are not published. BrightHire is now part of Zoom (Zoom's announcement). Suits: Zoom-first Greenhouse customers who want capture without a participant and richer interview analytics. Less suited to: teams that need a published price.

Fireflies.ai

Fireflies' Greenhouse guide describes sending meeting summaries to the matching candidate profile, matched by email and logged in the activity feed. Setup needs a Harvest API key and admin access to both tools; only future meetings sync automatically, and private meetings are not pushed unless you are a Super Admin. Prices are in Fireflies' July 10, 2026 pricing post, and its pricing page lists recording through the Chrome extension without the bot. Suits: companies already on Fireflies for other meetings. Less suited to: teams who want notes mapped into scorecard questions rather than the activity feed.

Otter.ai Recruiting Agent

Otter's Recruiting Agent page describes candidate insights, follow-ups and notes that sync with Greenhouse, and refers to Zapier integrations for pushing notes. Its desktop app records without a bot on Zoom, Google Meet, Slack Huddles and in person. Suits: hiring managers who want low-cost, bot-free notes. Less suited to: teams that want a native Greenhouse connection rather than an automation step to maintain.

HireLogic

HireLogic's homepage says it joins Zoom, Teams or Meet when invited by email, listens to phone calls when you conference in its number, and uses a companion app for in-person interviews. Greenhouse is not named on that page and pricing is not published. Suits: teams with a real mix of video, phone and in-room interviews. Less suited to: teams that want to confirm Greenhouse write-back before a sales call.

Running the native notetaker alongside a second tool

Many Greenhouse customers do not need to replace the native tool, only to cover what it cannot. A split that works:

Three rules keep a split like this from becoming a mess:

1. One tool per call. Never run two note-takers on the same interview. Candidates hear two notices, and you get two versions of the record.
2. The scorecard is still the record. Whatever captures the call, the submitted Greenhouse scorecard is what the debrief uses. Our scorecard template shows the structure to paste into.
3. One notice names every tool. Update your candidate privacy notice and the consent line interviewers read, so a phone screen and a video loop are described the same way. See the consent script.

Interview Signal fits the phone and in-room gaps in this split: it captures audio on the interviewer's computer, so nothing joins the call, works on phone screens through that computer, and for onsite panels splits questions across interviewers and syncs which ones were asked without sharing notes. Questions to ask Greenhouse before adding a vendor

Your Greenhouse account team can answer these faster than a new vendor's security review can run. Copy and send:

2. Is support for phone or in-person interviews on the roadmap,
   and is there a date?
3. Which transcription languages are planned beyond English?
4. Can retention be set per job or per office, within the
   60-day maximum?
5. Can the Notetaker join interviews hosted in another
   company's Zoom or Teams account (for example, a hiring
   manager joining a partner's meeting)?
6. Are Recall.ai and OpenAI listed as subprocessors in our
   current DPA, and where is Notetaker data stored?
7. What does the candidate see in the self-schedule or
   availability request, and can we edit that wording?
8. If our tier changes, what happens to existing recordings?

A two-week test for Greenhouse customers

Test on real requisitions, not demo calls, and compare against what the native notetaker already gives you, because that is the real alternative.

1. Pick two requisitions with at least eight interviews each over the next two weeks, including at least two phone screens.
2. Turn on Greenhouse Notetaker for the video interviews on both. Note how many candidates decline consent in the scheduling request.
3. Run one alternative on the interviews the native tool cannot capture, and on a few video interviews on one requisition only, so you can compare the same interview type.
4. Ask interviewers two questions after each interview: how many minutes did the scorecard take, and did anything in the draft notes need correcting?
5. Check three facts per interview in the notes against the recording or your own notes: a number, a name, and a reason the candidate gave.
6. Decide per interview type, not overall. The likely answer is "native for video, something else for phone", not a full replacement.

When to stay with Greenhouse Notetaker alone

Stay with the native tool if nearly all your interviews are scheduled video calls in English, your candidates are comfortable with a participant joining, 60 days of recordings meets your needs, and your security team prefers not to review another vendor. The notes landing directly in scorecard questions, with consent collected during scheduling, is an advantage that is hard to match from outside Greenhouse.

Add a second tool when a whole category of interviews, usually phone screens or onsites, goes uncaptured every week. Replace the native tool only if the participant in the call or the English-only limit affects most of your interviews.
