Fathom for recruiting: the free notetaker in interviews, bot-free capture and its limits

Fathom is a free AI notetaker that records, transcribes and summarizes Zoom, Google Meet and Microsoft Teams calls, and many hiring managers use it for interviews because the free plan has no cap on recordings. As of September 2026 it joins calls as a bot on any computer, captures without a bot on a Mac, and has no applicant tracking system integration. It suits hiring managers and small teams who want a searchable record of interviews; agency recruiters and teams that need scorecards in an ATS will find gaps.

Sources, as of September 2026: Fathom's product updates and its bot-free note-taker guide, which says bot-free capture is "currently Mac-only" and that you should still say you are capturing notes at the start of the meeting. The Mac app also shows live summaries during the call and a scratchpad for your own notes.
Which method to use
- Mac, any platform: bot-free audio plus transcript. You rarely need video of a candidate, and less captured means less to protect.
- Windows, interviews you host: the bot, named in the invite. With the Premium plan's custom bot option you can give it a clearer name.
- Windows, interviews someone else hosts: ask the host before sending a bot, since they decide whether to admit it.
- Phone screens: not described by Fathom. Test a softphone call on a Mac first, or see how to record a phone screen.

- Free is genuinely usable. For a hiring manager doing a few interviews a month, unlimited recordings and summaries cover the basics. The limit you will hit is Ask Fathom, which the prompts below depend on.
- Business is built around sales. Its additions (CRM field sync, deal view, coaching metrics, AI scorecards) are listed alongside HubSpot and Salesforce. Ask Fathom whether scorecards can be written against interview criteria before paying for them, and read the caution below before scoring candidates with AI.
- Custom retention is Enterprise. Teams with a written retention period for interview records should check what lower plans allow.
Ask Fathom prompts for interviews
Fathom's assistant answers questions about a recording. Used carefully, that is a quick way to find evidence. Used loosely ("was this candidate good?"), it hands the judgment to a model. These prompts ask for evidence, not verdicts. Copy and adjust.
1. EVIDENCE FOR ONE CRITERION
List every answer where the candidate described [criterion, e.g.
"prioritizing work with competing deadlines"]. For each, give the
question asked, the candidate's exact words, and the timestamp.
Do not rate or summarize the candidate.
2. I VERSUS WE
In the candidate's example about [project], quote each sentence
where they say what they personally did, and each sentence where
they say what the team did. Keep them in two separate lists.
3. LOGISTICS CHECK
Quote exactly what the candidate said about: current pay, expected
pay, notice period, start date, location or remote preference,
and other interview processes. Write "not discussed" if absent.
4. COVERAGE CHECK
Here are my planned questions: [paste list]. For each, say whether
it was asked, with the timestamp, or "not asked".
5. CANDIDATE QUESTIONS
List the questions the candidate asked me, word for word, and my
answers, so I can follow up on anything I promised.
Always check a quote against the transcript before it goes on a scorecard. Prompt 4 is the one most teams skip and most need: it shows whether every candidate was asked the same questions, which is the core of a structured interview.
A hiring manager's routine with Fathom
The prompts work best inside a short, repeatable routine. This one fits a hiring manager on the free or Premium plan who interviews two or three candidates for a role:
- Before the call, paste your planned questions into the Mac scratchpad, or keep them on paper beside you. Fathom does not build them for you, so use an interview guide.
- During the call, write only short markers next to a question when something stands out ("strong example", "check numbers"). Let Fathom hold the words.
- Within the hour, rate each criterion from your markers and memory before opening the summary.
- Then run prompts 1 to 4, replacing your evidence lines with quotes and correcting any rating the transcript does not support.
- Send your scorecard to the recruiter the same day, with quotes rather than the Fathom link, so the record lives where hiring decisions are kept.
- After the decision, delete recordings you no longer need under your retention rule.
Step 3 is the important one. Reading an AI summary before forming your own view makes your ratings converge on the summary's framing, and every candidate starts to sound alike.
Cautions before using AI scoring on candidates
- Know what the scorecard measures. A scorecard designed for sales calls may measure things like talk ratio or next steps, not job competencies. Ask Fathom what its scorecards assess before using them on interviews.
- Keep the rating with a person. An AI summary or score is a draft; the interviewer decides and writes the evidence. See evidence-based interview feedback.
- Check AI hiring rules. If AI output substantially assists a hiring decision, rules such as NYC Local Law 144 or the Colorado AI Act may apply.
- Watch clips and playlists. A shared clip of a candidate is easy to forward and hard to recall. Share with the hiring team only.
Settings and notice before the first candidate call
- Calendar auto-record. Check which meetings Fathom records by default, so interviews are a deliberate choice.
- Capture mode on Mac. Choose transcript-only or audio plus transcript for interviews. The toolbar indicator shows the current mode.
- Sharing. On Team plans, check folder and playlist access so interview recordings are not visible company-wide.
- Integrations. Do not sync interview summaries into a sales CRM or a public Slack channel.
- Deletion routine. Decide when interview recordings are deleted after the hiring decision, and who does it.
Invite: I use Fathom to take notes during interviews so I can focus on
our conversation. Notes are used only for this application. If you
would prefer I take notes by hand, reply here or tell me at the start;
it will not affect your application.
Repeat it at the start of the call. Our consent script has stricter wording for all-party consent states.
Where Fathom stops for recruiting
Not found on Fathom's pages as of September 2026:
- ATS integration. The integrations page names CRMs and workspace tools, not Greenhouse, Lever, Ashby, Bullhorn or JobAdder.
- Interview kits. No question guide from a job description or live tracking of must-ask questions.
- Submittals for agency recruiters.
- Bot-free capture on Windows, until the PC app ships.
- A recruiting-specific page. Fathom's solutions pages cover sales, customer success and teams, which tells you where the product's depth is.
Who Fathom suits, and who should look elsewhere
A sensible choice if:
- You are a hiring manager or founder who interviews a few times a month and wants a free, searchable record.
- You work on a Mac and want interviews captured with nothing joining the call.
- Your company already uses Fathom for sales or customer calls.
Look elsewhere if:
- You need notes on the candidate record in your ATS without Zapier.
- You work on Windows and do not want a bot in interviews.
- You run phone screens or need client submittals.
For that group, Interview Signal is one option: a desktop app for Windows and Mac with no bot, which captures phone and video screens, tracks the question guide during the call and writes submittals and scorecards with evidence quotes. It is not free beyond 20 minutes, so a hiring manager who only needs occasional transcripts may be better served by Fathom's free plan. Questions people ask
Is Fathom free for interviews?
Fathom's free plan includes unlimited recordings and transcriptions, instant AI summaries, clips and search, with limited use of AI action items and Ask Fathom, as of September 2026. That is enough for many hiring managers. Paid plans start at $16 a month billed annually for one person.
Can Fathom record an interview without a bot?
On a Mac, yes. Fathom's product updates say bot-free capture is live on Mac, with audio plus transcript and transcript-only modes, and bot-free video in limited beta. A Windows desktop app is described as coming soon, so on a PC the Fathom Notetaker joins Zoom, Google Meet or Teams as a participant.
Does Fathom integrate with Greenhouse or another ATS?
Not as a named integration as of September 2026. Fathom's integrations page lists CRMs such as HubSpot and Salesforce, Slack, Asana, Notion, Zapier and AI assistants, but no applicant tracking system. Notes would reach an ATS through Zapier or copy and paste.
Can Fathom capture a phone screen?
Fathom's bot-free guide describes desktop capture of system audio or microphone input while a meeting runs, and names Zoom, Meet, Teams and Slack Huddles for the bot. It does not describe phone screens, so test a softphone call on your Mac before relying on it.
