Interview no-show email templates: from the first missed minutes to closing the file

An interview no-show email should do three things without sounding annoyed: tell the candidate you were there at the agreed time, offer one clear way to reschedule if you want to, and set a date after which you will close their application. Send a short check-in five minutes after the start, a follow-up the same day, and a closing note if there is no reply within a few business days. The templates below cover each step, the agency versions, and the email to send when it was your interviewer who did not show.

The no-show sequence at a glance

Adjust the days to your volume. For a high-volume hourly role, same-day slots and a one-day close may suit. For a senior search, call before any email and allow more time.
Templates for the candidate
1. The five-minute check-in
Text:

Include the time zone and the last digits of the number you are calling. Some apparent no-shows turn out to be a wrong time zone, a call from an unknown number the candidate did not answer, or an old calendar link, and this message fixes all three while there is still time.
2. Same-day follow-up with one new time
Subject: We missed each other today: [Role]
Hi [First name],
We had an interview booked for [Role] at [time, time zone] today, and
I wasn't able to reach you. I hope everything is okay.
If you're still interested, you can pick a new time here: [scheduling
link], or reply with two times that work for you in the next [3]
business days.
If I don't hear from you by [day, date], I'll assume you've decided not
to go ahead, and I'll close your application for this role.

Do not ask why they missed it. People who have a reason usually give it; asking puts some candidates in the position of disclosing health or family details you do not want in your notes.
3. Confirming the new time after they reply

4. Closing the application
Version A — no reply after the follow-up

Version B — second missed interview
Subject: Your application for [Role]
Hi [First name],
We had a second interview time booked on [date] and weren't able to
connect, so I'm closing your application for [Role] at this point.
Thank you for your interest in [Company]. You're welcome to apply for
future openings.

Keep both versions free of blame. The candidate might have had a real emergency, and a neutral close keeps them willing to apply again.
Agency templates
At an agency a no-show costs twice: the candidate's chance and your credibility with the client. Tell the client first, quickly, and speak to the candidate before deciding whether to ask for another slot.
5. Telling the client the candidate did not attend

6. Following up with the candidate after a missed client interview

[Interviewer name] at [Client] was ready for your [time] interview
today and I wasn't able to reach you. I've let them know.
Please call me on [number] today or tomorrow morning. If something
urgent came up, I understand, and I'd like to know whether you still
want to be considered so I can tell [Client] honestly.
If I don't hear back by [day, time], I'll withdraw your application
with [Client].

When the candidate calls, ask whether they are still interested and whether anything about the role or the process has changed for them. A no-show is often a late signal of a competing offer, a counteroffer or cold feet about pay. Find that out before you ask the client for a second slot.
When your interviewer is the no-show
It happens more than recruiters like to admit: a hiring manager double-booked, a panel member stuck in another meeting. Apologize the same hour, do not explain at length, and offer times sooner than the original booking.
7. Apology to the candidate

I'm sorry: [interviewer name] wasn't able to join your [time] interview
today, and you weren't told in advance. That's our mistake, not yours,
and it doesn't affect your application.

8. Agency: telling the candidate the client missed it
Subject: Your interview with [Client]: new time

[Interviewer name] at [Client] had an urgent conflict and couldn't join
your interview today. They've apologized, and they're keen to meet you.
They've offered [day, time] or [day, time]. Which works best? If neither
does, send me two times and I'll arrange it.
This doesn't change anything about where you stand.

Say "they've apologized" only if they did. If the client missed an interview without a word, tell your client contact directly how it lands with candidates in this market, and use it to agree a confirmation step before the next one.
What to record, and what not to

Neutral notes protect you if a candidate later asks what happened, and they make your no-show numbers usable. What not to write in interview notes covers the rest.
Mistakes that make no-shows worse
- Waiting the whole slot in silence. A check-in at five minutes can still save the slot; a message at 45 minutes rescues none.
- A sarcastic or scolding tone. Screenshots travel. Every template above can be read aloud to the candidate's future manager without embarrassment.
- Offering unlimited reschedules. One new time is generous. Beyond that, interviewers stop taking your bookings seriously.
- Never closing the loop. A candidate left "in process" forever skews your pipeline and still expects to hear from you.
- Treating every no-show as the candidate's fault. Check your own invitation: time zone, link, the number you call from, and whether the reminder went out. If several candidates miss the same interviewer's slots, the problem may be the booking, not the people.
Questions people ask
How long should I wait before treating a candidate as a no-show?
Send a check-in at about five minutes past the start for a phone or video screen, and wait ten to fifteen minutes in total before ending the slot. For an onsite, call the candidate at the start time and give a little longer if they reply that they are close.
Should I give a no-show candidate a second chance?
For a first missed screen, offer one new time without asking for an explanation; emergencies, time zone mix-ups and calendar errors are common. After a second missed interview, or silence for several business days, close the application politely and leave the door open for future roles.
What should I write in the ATS when a candidate does not show?
The fact and what you did: 'Did not attend 10:00 screen. Texted 10:05, emailed 10:15 offering one new time.' Leave out guesses about why, and anything the candidate later tells you about health or family reasons beyond 'rescheduled at candidate's request'.
Is it acceptable to text a candidate who has not joined?
Texting is fine if the candidate gave you a mobile number for contact about the process and has not asked you not to text. Keep it to one short message from a number they can recognize, and follow up by email.
